Baca Facility Rental

The Baca Center is one of many city facilities available for rental for business luncheons, receptions, weddings, socials and programs. Commercial/for-profit events are prohibited in which a fee is charged to attend the event.

Baca Center Rental Tour & Pricing REVISED October 2018

Make a rental reservation by calling the Baca Center between 8 a.m. & 4:30 p.m. Monday through Thursday and 8 a.m. to 3:30 p.m. Friday at 512-218-5499.

Rental reservations require payment of deposit and fees at time of booking. Deposits and/or fees paid can take up to 14-21 days for refund.

Rental Availability
The Baca Center facilities are available for rental at the following times:

  • 5 p.m. to 10 p.m. Monday through Thursday (Weekend Rates Apply)
  • 4 p.m. to Midnight Friday (Weekend Rates Apply)
  • 8 a.m. to Midnight Saturday (Weekend Rates Apply)
  • 8 a.m. to 8 p.m. Sunday (Weekend Rates Apply)

Rental parties must be out of the facility by the ending time specified for each day.

Weekend rates apply Monday through Thursday 5-10 p.m, Friday through Sunday. 

Non-profit Organizations

Non-profit organizations with a current letter from the Internal Revenue Service deeming the organization as a 501(c)(3) can receive 25% off their rental fees (not deposit). IRS letters MUST not be older than 3 years.

The Baca Center is not available on the following holidays: Martin Luther King Day, President’s Day, Easter, Memorial Day, Independence Day, Labor Day, Veteran’s Day, Thanksgiving day and the day after, Christmas Eve and Day, if Christmas Eve falls on a Sunday or Monday the preceding weekend is unavailable. If Christmas Eve falls on Thursday or Friday the following weekend is unavailable.

Podium and Cordless Microphone
are available for $100/rental. An integrated sound system and projector are available and included in the price of the Grand Meeting Room.

All rentals include parking in garage beneath the facility. Rentals vary based on weekday versus weekend rentals. Capacity for each room is seated with tables.

Alcohol Restrictions
If alcohol is at an event, two Round Rock Police officers must be on duty during the hours the alcohol is on the premises. The Police Officers will be contracted and paid directly by the renter. The Police Department requires a three-week notice that officers are needed. The renter will be invoiced by the Round Rock Police for $110 per hour. Two officers will be on the premises during the times of the actual party (not necessarily during decorating times). If alcohol is found on the premises without proper officers on hand, a BACA Rec Attendant will give the renter the opportunity to remove the alcohol from the facility. Police will be notified of any non-compliance.

NO alcohol is allowed if the event is in honor of a minor (i.e. graduations, birthday parties, Quinceanera, etc.). During an “ALL teen” event, adult chaperones are required and they must be over 21 with a ratio of 1 adult per 25 teens. Two Round Rock Police officers MUST be on duty during the entire event if the ratio is not met. RRPD requires $110 per hour and a three-week notice. Person responsible for the event MUST be on-site during the entire event.

Due to a City Ordinance candles or any type of open flame are NOT allowed

  •  The grand meeting room comes with 24 standard 6′ rectangular tables and 14 60″ round tables and 180 non-folding cream chairs. We recommend 82″ round table covers or larger. It also includes a kitchen with microwave, refrigerator, stove, and dishwasher. The room also includes a 100″x160″ projector screen and projector available upon request ONLY.
  • The dining room comes with 12, 6′ round tables, 4, 6′ rectangular tables and 100 blue non-folding chairs. NO kitchen available with this room rental. 
  • The meeting rooms 1 & 2 come with 9 square card tables and 4 standard 6′ rectangular tables and 50 cream non-folding chairs. NO kitchen available with these rooms.
  • Meeting room 3 comes with 6 standard 6′ rectangular tables and 30 non-folding blue chairs. NO kitchen available with this room.
  • The arts & crafts room comes with 10 folding square tables and 36 blue non-folding chairs. It also includes two small sinks. NO kitchen available with this room.
